Verulam swim club collects data that is necessary for collecting payments, communicating with members, arranging trials and responding to inquiries, and keeping swimmers involved in competitive swimming.
We take great care with your personal data. If it is data with payment information or personal information that we don’t need to share in order to administer membership, then we only allow a minimal number of club administrators access, we keep the data in safe locations and transfer with encryption. All of the data we hold is held in the cloud, but with reputable service providers, who we pay to keep the data safe (Gradwell Cloud, and Hytech, at the present).
Some data is shared and published publicly, like the names, ages, gender, and times of swimmers (published by the swimming authorities and through links from our web-site as well). We share this data, as per logic, with swimming associations for rankings, awards, coaching, and entries into competitions.
Some of the data we have is shared within the club membership, like digital photos from events, names and news about swimmers (including swimming and school and life events). We try to follow all rules and policies and procedures when it comes to this data. It is not as essential that we share these things, but we do it because we are a team. So, you are asked to complete consent forms for these items, when you join the club and from time-to-time afterward.
If you want to change any of the non-essential data sharing consent, please be in touch. You can email email@example.com, or Lea@verulam-asc.org.uk, or talk to the volunteers at the question-and-answer table during Sunday night sessions (offered about once a month).
If you want to request a copy of your data or request erasure or correction of data, please know that some changes and corrections are not under our control (such as official competition times), and some data is necessary to keep on file with us in order to maintain membership, BUT, you are always free to inquire, and we will respond. Email firstname.lastname@example.org, or Lea@verulam-asc.org.uk, or talk to the volunteers at the question-and-answer table during Sunday night sessions (offered about once a month).
